Rules of Technology

In 2003, Bill Gates said:

  • The first rule of any technology used in a business is that automation applied to an efficient operation will magnify the efficiency.

  • The second is that automation applied to an inefficient operation will magnify the inefficiency.

This is why simply buying an 'off the shelf' software package may not be the best solution to assisting a business in reducing costs and raising profitability. See the example scenario below which illustrates how bespoke software written specifically for your business can put you back in control and give you the competitive edge.

Evolution of a Business

Consider the following typical scenario that many businesses follow during their evolution, with the following common application requirements:

  • Contact & Customer Management

  • Bookkeeping / Accounting & Payroll

  • Diary / Appointments / Scheduling

  • Email / Fax Communication

  • Letter & Quotation Writing

  • Business Specific Software (e.g. A mortgage calculator)

Stage 1

In the beginning, it is probably possible to carry out all of the above functions using both MS Excel and MS Outlook Express by just one person. This person (the business owner) would have 100% visibility of the business data and it would all be stored in the same location.

Stage 2

As the business becomes more successful and a few staff are hired to cope with the additional work, so too will additional software will be introduced. Now the data is becoming fragmented and being stored in separate locations (Outlook user profiles, databases, Word documents). The effect of this is to reduce the overall visibility that the business owner had of what is actually happening within the business.
Stage 3

Once again, more growth means another reduction in visibility as the business owner is yet further removed from seeing the whole picture. This is an entirely natural and necessary process, however, it does mean that the business is lacking the agility that it once had.
Solution

By working with the business owner, we can design, produce and implement a software solution that can act as a 'wrapper' for the data created within each of the software applications. This rebuilds the previously lost data visibility and allows the business to capitalise on opportunities that may have otherwise been lost.

This is just example of the benefits of having a tailored software solution written specifically for your business and requirements.
